How To Prepare For Your First Destination Planning Call

Congratulations on your engagement!  

So you've decided on a destination wedding but you aren't sure where to begin. 

Before your first consultation with your destination planner, you and your partner should already have a few things in mind. 

Approaching your first call requires careful consideration and preparation. Here are key things to know (or at least have an idea about). Don't worry if you don't have all of the answers, you would be directed from your first call so that you could easily figure out the things you are still unsure of. 


1. Try to define your vision

What is that perfect picture that you've been day-dreaming about for your big day? Clearly articulate this. If it helps to draw it, then do so. Whatever helps you to communicate your vision. Photo inspirations, color pallettes, ceremony set ups. Anything you feel would add to accurately moving that vision from your head to your actual day. Highlight themes, preferences, and must-haves to guide the planning process.


2. What are your priorities?

Identify your top priorities. Is it location, guest experiences, or specific elements like photography, entertainment or decor. This helps to guide the budget allocations and focusing efforts. 


3. The big elephant in the room - THE BUDGET!

This is an area you should not shy away from and it is okay if it is small. Have an open and honest discussion about it so that your planner could help you understand the overall costs involved at various destinations, including travel expenses, accommodations, and wedding-related services. Noting your priorities are especially important here. 


4. What is your dream destination? 

Have either of you been to a particular destination before and you feel like that is the place you'd like to tie the knot or one of similar aesthetics? If you haven't settle on one yet, feel free to express potential destinations or world regions such as the Caribbean, Mexico, Europe, Africa, etc). If you haven't selected a destination yet, your planner would discuss options with you based on your budget and considerations. 


5. Guest considerations 

Do you have an estimated guest list number? Mention the guest list and potential challenges or considerations for guests traveling to the destination. These include elderly, children, those with disabilities, budget constraints and more. This knowledge helps when considering location, accommodations and activities that cater to different preferences and challenges. 


6. Legal Requirements

You'll be supplied with the legal and residency requirements for getting married at your chosen destination. This includes any required paperwork, permits, or licenses which would be taken care of for you. If you decide on a symbolic ceremony, these requirements would differ. 


7. The Timeline

Establish a rough timeline for the wedding. Consider factors like the ideal season for the destination, travel peak periods, any specific dates, and the overall duration of the celebration. If children would be attending, you may want to consider factors such as school closing dates if the celebration would last beyond the weekend. 


8. Communication Preferences

Clarify communication preferences that would work best for you such as email, phone, messaging, etc. 


9. Vendor Preferences 

If you have specific vendors such as photographers in mind, express your preferences. If not, don't worry, your planner would provide recommendations based on your vision and budget throughout the planning journey. 


10. Cultural Considerations

If you're marrying in a different cultural setting, be open to embracing local customs and traditions. Feel free to ask how you can incorporate these into the celebration or during pre- or post-event. Consider activities or excursions for guests to enhance their experience. Discuss how to make the destination wedding not just about the ceremony but a memorable event overall. Your planner may also have access to excursions, events and discounted city passes that would be accessible for you and your guests to enjoy at the destination.
